Have any of you volunteered to help out with hospitality at your child’s school’s contest? Our school hosts a contest every year and this year I’m taking a more active roll in hospitality. We take care of judges, make sure they have plenty of snacks and drinks as they need them as well as making sure they have good meals during the contest.
We also have a directors’ room with drinks and snacks for them while they are in the viewing room while their band is performing and also when all of the directors come up during breaks and while scores are being tallied etc.
I’d love some input from parents who have done this job about what they have done, as well as input from anyone who has been on the judge or director side and what they have enjoyed or not enjoyed.

Food! That's always a number one thing that grabs the attention of people going into the hospitality room. A great spread guess a long way. Homemade food is a great touch and can often be better than generic catering which can go stale. Also, cheaper. If not an option, at the very least have a variety of snacks like veggie platters, chip snack bags, and variety of soda/drinks.

Yes, variety is the key. Make sure you accommodate any vegetarians/vegans as well. We always have a mix of catered stuff and homemade and, yes, the homemade stuff is often a hit - especially in the dessert/sweets department. Lots of drink options is also good. We bring in judges from across the country, so we try to include some real local flavor catering to let them get the "Texas" experience. This always gets good reviews.
Another really helpful part of the process I have found is to solicit feedback from them the week after. Ask about everything from the hotel to the drink choices. They will feel more free to give solid feedback when it's not face-to-face.

I know the Cedar Ridge folks did an incredible job with the Texas Marching Classic offerings for directors, judges and Texas Bands staff last fall. I think they were barbecuing in the parking lot! 😁

A hospitality area for bus drivers is particularly appreciated at local contests. School bus drivers are underappreciated.

In my neck of the woods most contests allow not only directors and staff to visit the hospitality area but also bus/truck drivers and some even allow bus chaperones. Most hosts here set up big pop-up tents past one of the end zones with tables and lots of chairs so everyone can watch the other bands perform from the side. I've even seen some places bring out couches.
